Your Digital Office is a major foundation that should support you. Its purpose is to run in the background and not get in the way. It should be invisible, simple, and above all supportive. As a professional, you have better things to do than just click around until it works, or give hours to Google and YouTube trying to find useful instructions.
You also need to know how to effectively navigate your system. It should be set up, organized in a way that makes sense for you and that you fully understand it. You need to know its inner workings well enough to make it right again if something gets wonky. Getting your computer stuff in order is possible. The first thing you need to do is take a good look at your system and determine where you are.
Let’s take your digital office inventory and see what needs to be done.
Let’s do a couple of Digital Office efficiency tests.
How quickly can you find these things?
Look in your computer files for the following:
- Your professional headshot
- The original logo and branding files for your business
- The file folder for your current project
Go check your email system and look for the following:
- An email sent to you directly with personal communication
- A file someone shared with you.
- An email receipt for a business purchase
- Your graphic designer’s contact info
How many places did you need to look? One, two, three or more before you found it? If you need to look in more than 2 or at most 3 different places to find information in your system, then your digital office could use some rescuing.
Let’s do a couple of Digital Office efficiency tests.
This next test is a little more dangerous.
When you clear the cookies and cache of your favorite internet browser how quickly can you log back into everything?
Gather these things BEFORE you initiate this test.
- Your email account password
- The login information for your social media accounts
- The login information for the important online tools you use regularly
Now go clear your cookies and cache. If you are super brave, close each of your browser tabs and reboot your computer. When you do this, you will LIKELY be logged out of your online tools and social media accounts. Sometimes you need to log back in, and sometimes you don’t.
Here are some INSTRUCTIONS for how to clear your cookies and cache.
Once your computer comes back online go to your email, social media, and professional online tools and log back in. (if necessary)
- Are you afraid to even try this test?
- How painful was this exercise?
- How many passwords did you need to reset?
- Do you feel like you have forgotten some of your online tools because you had to close the tabs?
If you don’t like the answers you gave to these questions then your digital office could use some rescuing.
